This Policy is designed to provide an overarching agreement on sensible and secure usage of online AI tools and applications.

This document will be communicated to all staff and provided to all employees on arrival.
What are the ethical considerations for the use of AI?
AI at Automata is used to aid in manual tasks and is not implemented to replace any core company functions.
What are the legal considerations for the use of AI?
Personally identifiable information and Client data are both treated by Automata as strictly confidential. No Automata employee will upload any data to any AI tool that contains either without strict authorization from the IT team.
What are the risks associated with the use of AI?
The risks associated with AI usage are primarily data leaks, and client data residing in online learning functions.
How will the AI policy be monitored and enforced?
All staff that wish to use AI applications will need to provide a use case which will be periodically reviewed.
What data privacy and security measures are required for using AI?
Automata have a fully compliant GDPR statement that staff follow, it also only uses tools that limit inception of training data.
How should AI-driven decisions be validated?
AI will not be used to make any decisions internally or externally.
